How to See Someone’s Calendar in Teams

To see someone’s calendar in Microsoft Teams, open Calendar, select Show navigation pane in the top-left corner, and select their calendar under the mini-month view. Teams shows it next to yours, and you can switch between split and combined views. If their calendar isn’t listed, they need to share it with you first, usually from Outlook. To just check when someone is free, start a new meeting, add them, and open the Scheduling Assistant, which shows their busy times without needing extra permissions.

What you can see depends on permissions

Teams uses the same calendar as Outlook, so it follows the same sharing rules:

  • Free/busy: by default, most organizations let everyone see when coworkers are busy, but not what the meetings are. This is what the Scheduling Assistant shows.
  • Titles and locations: visible if the person shares their calendar with that level of detail.
  • Full details: visible only if they share it with full access or make you a delegate.

Private appointments stay hidden unless you’re a delegate with permission to see private items. Personal Microsoft accounts using Teams (free) don’t support viewing other people’s calendars.

Check someone’s availability with the Scheduling Assistant

  1. Select Calendar on the left side of Teams.
  2. Select New meeting.
  3. Add the person in the Invite attendees box.
  4. Select Scheduling Assistant at the top of the meeting form.
  5. Their busy times appear as blocks next to yours. Pick a time when everyone is free.

If you don’t want to schedule anything, close the form with Close or Discard. Nothing is sent until you select Send.

View a shared calendar in the Teams calendar

  1. Select Calendar in Teams.
  2. Select Show navigation pane in the top-left corner.
  3. Below the mini-month view, select the person’s calendar to show it. Select it again to hide it.
  4. To compare schedules, select your current view at the top (such as Work week) and turn Split view on or off. Split view shows each calendar side by side; combined view overlays them in different colors.

Microsoft’s guide to viewing multiple calendars in Teams also covers saving views and calendar groups.

If their calendar isn’t listed

A calendar appears in Teams once it’s been shared with you and added to your calendar list. The easiest way to do that is in Outlook, because Teams and Outlook use the same calendar.

Ask the person to share it

In new Outlook or Outlook on the web, they open Calendar, right-click their calendar, select Sharing and permissions, add your name, choose a permission level such as Can view all details, and select Share. You get an email invitation.

Accept and add it

  1. Open the sharing email in Outlook and select Accept.
  2. The calendar is added under People’s calendars or Other calendars.
  3. Return to Teams, open Calendar, and show the navigation pane. The shared calendar appears in the list.

You can also add a coworker’s calendar yourself in Outlook with Add calendar > Add from directory. You’ll see whatever level of detail your organization allows by default, which is often free/busy only.

Organize calendars into groups

If you check the same people’s calendars often, put them in a calendar group:

  1. In the Teams calendar, select Show navigation pane.
  2. Hover over a calendar, select More options, then New calendar group.
  3. Name the group and press Enter.
  4. Drag people’s calendars into the group. Selecting the group shows all their calendars together.

See a team or channel calendar

Teams channels don’t have a calendar of their own, but you can add a shared calendar as a tab. In the channel, select Add a tab (the plus sign at the top) and choose a calendar app. Many teams instead use a shared mailbox or Microsoft 365 group calendar, which you can open in Outlook and view alongside your own.

Troubleshooting

I only see “Busy” blocks

The person shared free/busy information only. Ask them to change your permission to Can view titles and locations or Can view all details.

The navigation pane doesn’t show any other calendars

You may be using the classic Teams calendar, or no calendars have been shared with you yet. Update Teams, then add the calendar in Outlook as described above.

A shared calendar shows in Outlook but not in Teams

Sign out of Teams and back in, or wait a few minutes for it to sync. Both apps must use the same work account.

I can’t see someone outside my organization

External calendars only show free/busy information if both organizations allow it. Ask the person to send you available times or share an internet calendar link instead.

Frequently asked questions

Can someone see my Teams calendar?

By default, coworkers can usually see when you’re busy, but not your meeting details. Check or change what you share in Outlook under Sharing and permissions.

Will the person know I viewed their calendar?

No. Viewing a shared calendar or using the Scheduling Assistant doesn’t notify anyone.

Can I see someone’s calendar on the Teams mobile app?

The mobile app shows your own calendar and lets you check attendee availability when scheduling. Viewing other people’s full calendars works best in Outlook mobile or on desktop.

How do I export my calendar?

See how to export a calendar from Outlook to Excel.
